Client Handoff Template
The exact process for submitting a client. What to prepare, what the form looks like, and what happens after you hit submit.
01. What You'll Need
Gather these items before you submit. Having everything ready means faster turnaround and fewer back-and-forth messages.
- Client business name
The legal or DBA name for their business. This appears on all deliverables.
- Client contact info
Name, email, and phone for the primary point of contact (if needed for account setup).
- Services selected
Which services are you offering this client? Website + SEO, reputation, lead capture, etc.
- Monthly budget / pricing
What you've quoted the client. Helps us scope the build and prioritize deliverables.
- Any special requirements
Domain access, existing content to migrate, specific design preferences, rush timelines, etc.
02. The Form
Here's what the client submission form looks like. Two minutes, start to finish.
The name that will appear on all deliverables
03. What Happens Next
After you submit the form, here's the exact timeline. No surprises.
Sub-account Created
Your client's sub-account is live in the system. Services are being configured. You'll get a Slack notification confirming setup has started.
Services Configured, Build Begins
All selected services are configured. Website design starts. Automations and workflows are being built. Reputation campaigns are staged.
First Deliverables Ready for Review
Website draft, configured automations, and initial campaign setup are ready for your review. We'll share a preview link in Slack so you can check everything before your client sees it.
Client Fully Live
Everything is launched, tested, and running. Website is live, lead capture is active, reputation campaigns are sending, and automations are triggering. Your client is up and running under your brand.
04. Tips for a Smooth Handoff
A few things that make the process faster and reduce back-and-forth.
Set Expectations With Your Client Before We Start
Let them know what's coming and when. A quick "we're building your new site and it'll be ready in a week" goes a long way. This prevents premature check-ins and keeps everyone aligned.
Provide Brand Assets Upfront
Logo files, brand colors, domain login credentials, and any existing content they want carried over. The more we have on day one, the faster the build moves.
Keep Communication in the Partner Slack Channel
Your dedicated Slack channel is where updates, questions, and approvals happen. Everything in one thread means nothing gets lost and responses are faster.
